Hafnia Hackathon 2025 Terms

The Hackathon is a software programming competition. Participants may create original solutions, prototypes, datasets, scripts, or other content, materials, discoveries, or inventions (a “Submission”). The Submissions participants develop will be evaluated by judges, who will award prizes to participants who submit qualifying Submissions as determined in the sole discretion of the judges.

1) Binding Agreement

By registering for the Hackathon, checking any “I agree” box, or otherwise affirmatively accepting these rules, or participating in any Hackathon activity—including entering the venue, joining the official Slack channels, receiving or using any Milestone-issued API keys, SDKs, or datasets, submitting a Submission, or claiming a prize—you agree to be bound by these Official Rules (“Rules”) and the Hack Code of Conduct. They form a legal binding agreement between you and Milestone. If you do not agree, do not register, or participate.

If you are entering as part of a company or on behalf of your employer, these rules are binding on you, individually, and/or your employer. If you are acting within the scope of your employment, as an employee, contractor, or agent of another party, you warrant that such party has full knowledge of your actions and has consented thereto, including your potential receipt of a prize. You further warrant that your actions do not violate your employer’s or company’s policies and procedures.

Non-material administrative updates may be made at any time. Material changes will be announced via the official Slack and/or email; continued participation after notice constitutes acceptance.

2) Eligibility

To participate in the Hackathon, you must be: (1) 18 years or older at the time of entry; and (2) not subject to sanctions or export controles by the EU or U.S. Contest is void where prohibited by law.

Milestone employees, contractors, organizers, volunteers, judges, and sponsor representatives may participate to learn but are ineligible for prizes.

4) Hackathon Period

The Hackathon begins at 12:00 PM Central European Time (CET) online (as communicated on the event page or as determined by Milestone for each participant), on 13.10.2025 and ends on 11.11.2025, at the Developer Summit, in Copenhagen (“Hackathon Period”). Milestone may extend or modify the Hackathon Period at its discretion. Participants are responsible for determining the corresponding time zone in their respective locations.

5) How to Enter

No Purchase Is Necessary to Enter or Win.

To enter the Hackathon, please submit your interest via https://hafnia.milestonesys.com/hackathon before 03.11.2025. Milestone may, in its sole discretion, select the participants who may participate in the Hackathon. Participants will be assigned a specific timeslot during the Hackathon Period during which they may demonstrate Submissions to the judges. Submissions must be demonstrated during participant’s assigned timeslot to be eligible for a prize, and must meet the “Submission Requirements,” described below.

Each participant is entirely responsible for all costs and fees associated with its participation in the Hackathon, including (but not limited to) admission fees, transportation, accommodation and living costs, unless Milestone has explicitly agreed in writing to cover certain costs for specific participants (e.g., invited finalists). All entries must be received before the end of the Hackathon Period. Entries are void if they are in whole or part illegible, incomplete, damaged, altered, counterfeit, obtained through fraud, or late. All entries will be deemed made by the authorized account holder of the email address submitted at the time of submission, and potential prize recipients may be required to show proof of being the authorized account holder for that email address. The "authorized account holder" is the natural person assigned to an email address by an internet service provider, online service provider, or other organization responsible for assigning email address for the domain.

Submission Requirements:

The Submission must meet the following criteria:

  • Originality and Timing: All code must be created by you during the Hackathon. Prior ideas/designs are allowed.
  • Open-Source and SDKs: Libraries/frameworks/SDKs are allowed; teams must comply with their licenses.
  • Repository: Maintain a public or shareable repository with commits during the Hackathon Period; Milestone may verify commit timestamps and license notices and may request proof of license compliance.
  • README & Licenses: Include a README that explains what was built during the Hackathon Period and lists all third-party assets and licenses.
  • Demo: Provide a demo (live or per video instructions) within your timeslot.

During the Hackathon Period, Milestone, its agents, and/or the judges will be evaluating each Submission to ensure that it meets the Submission Requirements. Milestone reserves the right, in its sole discretion, to disqualify any participant who submits a Submission that does not meet the Submission Requirements.

6) Judging

A panel of judges (Milestone employees and/or invited external experts) will evaluate Submissions against published criteria. Judges must disclose conflicts and recuse where appropriate. After eligibility checks, the highest-scoring Submissions will be selected as winners. Judges’ decisions are final and binding.

If a potential prize recipient is disqualified for any reason, the prize allocated to that recipient will be returned to the total prize pool. On or about 11.11.2025, the potential prize recipients will be selected and notified via Milestone Slack Community (to be detailed by Milestone), by telephone, and/or email, at Milestone’s discretion. If a potential prize recipient does not respond to the notification attempt within one week from the first notification attempt, then such potential prize recipient may be disqualified, and the allocated prize will be returned to the total prize pool. With respect to notification by telephone, such notification will be deemed given when the potential prize recipient engages in a live conversation with Milestone or when a message is left on the potential prize recipient’s voicemail service or answering machine by Milestone, whichever occurs first. Except where prohibited by law, each potential prize recipient may be required to sign and return a Declaration of Eligibility and Liability and Publicity Release and provide any additional information that may be required by Milestone. If required, potential prize recipients must return all such required documents within seven days following attempted notification or such potential prize recipient may be deemed to have forfeited the prize and the prize may be returned to the total prize pool. All notification requirements, as well as other requirements within these Rules, will be strictly enforced. In the event no Submissions are received, no prizes will be awarded.

7) Prizes

The number of prizes, brief descriptions, and any approximate retail values will be communicated in a prize notice published via official Hackathon channels before the Hackathon Period. Winners may need to provide details for processing the prizes within five days, if they want to accept the prize. and incorporated by reference into these Rules. If there is any inconsistency between such prize notice and these Rules, these Rules control.

Such prize notice may be updated for accuracy or availability by Milestone.

Milestone reserves the right to issue partial prizes, in its sole discretion, for partial, incomplete or unreliable Submissions. Milestone may also consider issuing significant bonuses for any participant who demonstrates a particularly impressive or surprising Submission.

For any prize awarded to a team; team members are solely responsible for agreeing and documenting how to split the prize.

Odds of winning any prize depend on the number of eligible entries received during the Hackathon Period and the skill of the participant. The prizes will be awarded within approximately 30 days of receipt by Milestone of final prize acceptance documents. No transfer, substitution, or cash equivalent for prizes is allowed, except at Milestone’s sole discretion. Milestone reserves the right to substitute a prize, in whole or in part, of equal or greater monetary value if a prize cannot be awarded, in whole or in part, as described for any reason. Value is subject to market conditions, which can fluctuate and any difference between actual market value and approximate retail value will not be awarded. Prizes may be subject to restrictions and/or licenses and may require additional hardware, software, service, or maintenance to use. The recipient shall bear all responsibility for use of prizes in compliance with any conditions imposed by such manufacturer(s), and any additional costs associated with its use, service, or maintenance. Milestone has not made and is not responsible in any manner for any warranties, representations, or guarantees, express or implied, in fact or law, relating to prizes, regarding the use, value or enjoyment of prizes, including, without limitation, their quality, mechanical condition, merchantability, or fitness for a particular purpose, with the exception of any standard manufacturer's warranty that may apply to the prize or any components thereto.

Prizes may be fulfilled directly by Milestone or by a designated event manager or fulfilment partner. By accepting to receive a prize, recipient consents to Milestone sharing necessary personal data with such partner solely for prize delivery.

Certain non-cash prizes may be provided by sponsors and subject to their separate terms, warranties, and availability; Milestone is not responsible for sponsor terms or fulfillment beyond facilitating delivery. No substitution is permitted except as stated in these Rules.

8) Taxes

PAYMENTS TO POTENTIAL PRIZE RECIPIENTS ARE SUBJECT TO THE EXPRESS REQUIREMENT THAT THEY SUBMIT TO MILESTONE ALL DOCUMENTATION REQUESTED BY MILESTONE TO PERMIT IT TO COMPLY WITH ALL APPLICABLE STATE, FEDERAL, LOCAL, AND FOREIGN (INCLUDING PROVINCIAL) TAX REPORTING AND WITHHOLDING REQUIREMENTS. ALL PRIZES WILL BE NET OF ANY TAXES MILESTONE IS REQUIRED BY LAW TO WITHHOLD. ALL TAXES IMPOSED ON PRIZES ARE THE SOLE RESPONSIBILITY OF THE PRIZE RECIPIENTS. In order to receive a prize, potential prize recipients must submit the tax documentation requested by Milestone or otherwise required by applicable law, to Milestone or the relevant tax authority, all as determined by applicable law, including, where relevant, the law of the potential recipient’s country of residence. The potential prize recipients are responsible for ensuring that (s)he complies with all the applicable tax laws and filing requirements. If a potential prize recipient fails to provide such documentation or comply with such laws, the prize may be forfeited, and Milestone may, in its sole discretion, return the prize to the total prize pool.

9) General Conditions

All federal, state, provincial and local laws and regulations apply. Milestone reserves the right to disqualify any participant from the Hackathon if, in Milestone’s sole discretion, it reasonably believes that the participant has attempted to undermine the legitimate operation of the Hackathon by cheating, deception, or other unfair playing practices or annoys, abuses, threatens or harasses any other participants, Milestone, or the judges.

10) Intellectual Property Rights

Milestone and its licensors retain all right, title and interest in and to existing Milestone intellectual property, including without limitation: APIs, SDKs, datasets, documentation, platforms, software, websites, brand assets, trademarks and service marks, and any improvement or derivates thereof. No rights or licenses to existing Milestone intellectual property are granted except as expressly stated in these Rules.

To administer the Hackathon, evaluate Submissions, and showcase the event, participants grant Milestone and its affiliates a non-exclusive, worldwide, royalty-free license (with the right to sublicense to service providers) to use, reproduce, display, perform, and distribute Submissions, and to display/perform them publicly, solely for (i) Hackathon administration and judging, (ii) internal evaluation, and (iii) marketing and reporting about the Hackathon (e.g., event recordings, blogs, slides).

Participants retain ownership of all intellectual property rights in and to their own creations, whether submitted or not. Nothing in these Rules assigns any ownership to participants' creations to Milestone. Participants are responsible for complying with applicable licenses and terms for obtaining the necessary securing rights to all third-party materials they include and for complying with applicable licenses/terms. On request, participants will document their right to use the material such rights.

Milestone has no obligation to review, use, commercialize, or pursue any Submission; participation creates no expectation of further engagement, partnership, or compensation.

If participants provide comments or suggestions about Milestone products/services (“Feedback”), Milestone may use the Feedback without restriction and without any obligation to the participant. Milestone may use information retained in the unaided memories of personnel who had access to Submissions, provided such use does not involve intentional memorization to avoid confidentiality obligations.

Please know we’re not requiring participants to sign non-disclosure agreements (“NDAs”); participants are themselves responsible for protecting their ideas.

11) Privacy

Milestone is the data controller of personal data processed for the Hackathon. We process identification and contact data, information provided by you in the registration form, any messages from you, Submissions, and prize logistics data to administer the Hackathon, verify eligibility, judge Submissions, communicate with participants, and deliver prizes (art. 6(1)(b) and (f) GDPR). Where local law requires it, we rely on consent for publicity beyond event reporting.

We may capture photography and recordings at the event for Hackathon reporting and safety purposes.

We may share personal data with service providers (e.g., event management, communication tools), prize-fulfilment partners, and sponsors only as needed to operate the Hackathon or deliver prizes. Data may be transferred outside the EEA with appropriate safeguards (e.g., Standard Contractual Clauses). We retain data for durations needed to run the event and for reasonable audit/defence periods.

Participants have GDPR rights (access, rectification, erasure, restriction, portability, objection) and may contact us at hafnia@milestonesys.com. More detail is provided in our privacy policy (https://hafnia.milestonesys.com/privacy-policy-user).

If mandatory registration data is not provided, Milestone may disqualify the participant.

12) Publicity

By accepting a prize, participants consent to Milestone’s use of their name, team name, likeness, and Submission for reasonable Hackathon-related publicity without additional compensation, where permitted by law. Milestone will honour any mandatory local opt-outs or statutory requirements.

13) Warranty

Participants warrant that their Submissions are their own original work and, as such, they are either the sole and exclusive owner and rights holder of the submitted Submission, or that they have obtained all necessary permissions to incorporate work that is not their own into their Submission, and that they have the right to submit the Submission in the Hackathon and grant all required licenses. Each participant agrees not to submit any Submission that (1) infringes any third party proprietary rights, intellectual property rights, industrial property rights, personal or moral rights or any other rights, including without limitation, copyright, trademark, patent, trade secret, privacy, publicity or confidentiality obligations; or (2) otherwise violates the applicable state, federal, provincial or local law.

14) Code of Conduct and Enforcement

Participants must comply with the Hack Code of Conduct (available at https://hackcodeofconduct.org/). Milestone may investigate reports, remove content, or disqualify participants for violations. To report an issue, email hafnia@milestonesys.com or notify an organizer.

Any false information (e.g., identity, contact information, ownership rights, or compliance) results in immediate elimination.

15) Internet

Milestone is not responsible for any malfunction or any late, lost, damaged, misdirected, incomplete, illegible, undeliverable, or destroyed Submissions due to site or system errors.

The Hackathon may use third-party platforms (e.g., Slack, Git hosting, video platforms). Milestone is not responsible for such services, which are governed by their own terms and privacy policies. Participants are solely responsible for complying with those terms.

16) Right to Cancel, Modify, or Disqualify

If for any reason the Hackathon is not capable of running as planned, including infection by computer virus, bugs, tampering, unauthorized intervention, fraud, technical failures, or any other causes which corrupt or affect the administration, security, fairness, integrity, or proper conduct of the Hackathon, Milestone reserves the right at its sole discretion to cancel, terminate, modify, or suspend the Hackathon. Milestone further reserves the right to disqualify any participant who tampers with the submission process or any other part of the Hackathon or Hackathon site. Any attempt by a participant to deliberately damage any web site, including the Hackathon site, or undermine the legitimate operation of the Hackathon is a violation of criminal and civil laws and should such an attempt be made, Milestone reserves the right to seek damages from any such entrant to the fullest extent of the applicable law.

17) Not an Offer or Contract of Employment

Submission into the Hackathon, the awarding of a prize, or anything in these Rules cannot be construed as an offer or contract of employment with either Milestone, or any other Hackathon entities.

18) Governing Law and Arbitration

These Rules shall be governed by, subject to, and construed in accordance with the laws of Denmark, excluding all conflict of law rules. If any provision(s) of these Rules are held to be invalid or unenforceable, all remaining provisions hereof will remain in full force and effect.
